You can download your product catalogue from FormXchange and import to Colladium.


Download your products from FormXchange

  1. View your product catalogue.
  2. Click on (P) Export to CSV button to export the entire Product Catalogue into a CSV file.

Add data to the spreadsheet

  1. Once you open the file in Excel, you may notice that the GTIN and GLN fields don't look correct e.g.
  2. Highlight each column, and right click with your mouse. Choose Format Cells.
  3. Click on Number and change the number of decimal places to 0.
  4. Click OK.
  5. Add a new column in the file and give it the title 'effective'. This column shows when you want the product to be active. The date should be in the format 'DD/MM/YYYY HH:MM'. It needs to be a time and date in the future so I suggest putting in the current date but a time 10 minutes in the future. To make it easy, do this for the first product row, and copy and paste the same for date and time for the rest of the product rows.
  6. Save this file.


Upload your products to Colladium

  1. Log in to Colladium
  2. Navigate to the product menu, and select 'Product library'
  3. Select the arrow next to the new button and click upload CSV of new products
  4. Select the file you want to upload
  5. The first column, product information, will show you the field in Colladium. The second column, CSV column, will list the header columns in your CSV file. The sample value shows the first product line for that value in your CSV file.
  6. Match the first two columns. Each product must have at least a GTIN or supplier item code to create it. Look to match "GTIN" in the product information column with "GTIN" in CSV columns, "Supplier item code" with "Item Code", "Effective" with "Effective" and "Item name" with "Description".
  7. Click next
  8. Tick the boxes to select the products to upload and click upload products.

To allow your product information to populate in EDI documents you receive (PO, POC, invoice, etc), make sure the product catalogue you use for the product has the 'public' option selected in the 'Visibility' setting. Learn about catalogues and visibility here.
